Keep a small set of useful lead details

A workable lead tracker needs enough context to support the next conversation: a name, contact details where relevant, an estimated value, a short note, and a follow-up date. Keep the next action specific, such as ‘ask for feedback on the revised scope,’ rather than ‘follow up someday.’

Deal value is an estimate, not guaranteed revenue. Use it to understand your pipeline alongside the client's urgency and the strength of the opportunity. A smaller deal with a promised response today may deserve attention before a large speculative lead.

Review overdue leads before adding more reminders

Start by checking overdue follow-ups. For each one, decide whether to contact the client, reschedule based on new information, or close the opportunity. An overdue item is a signal to review the record, not proof that the client is unresponsive.

Next, review today's scheduled work. Separate promises you made from optional outreach. If a client expects a document or answer from you, complete that action rather than sending a generic reminder.

Use a repeatable checklist

1. Review due and overdue leads. 2. Read the latest note before contacting each client. 3. Send a relevant message through your normal channel. 4. Save the outcome. 5. Set a new date only when there is a useful next action.

Keep later opportunities out of today's outreach list. If a prospect asked you to return next quarter, schedule that date and leave them alone until it is relevant. This keeps both your dashboard and the client's inbox easier to manage.

Choose reminders that support your schedule

Set your time zone, reminder time, and frequency in your Follix account settings. Available delivery channels and reminder behavior depend on your plan and the application's configured rules. Choose a schedule that helps you act rather than checking every channel continuously.

When a reminder arrives, open the dashboard to review current lead information. A scheduled summary may describe an earlier moment; the lead record is where you should check whether the opportunity has already been updated or closed.

Review wins and losses separately

At the end of the week, look at which opportunities were won, which were lost, and which still need a next action. The total number of closed leads includes both outcomes; only won deal values belong in a won-revenue total.

Use this review to improve your notes and timing. If leads repeatedly become overdue, reduce unnecessary reminders and choose more realistic dates. If clients repeatedly ask the same question, answer it earlier in your proposal. A good routine improves the conversation, not just the number of messages sent.
